Western Michigan University's Grand Rapids campus in Grand Rapids, MI is seeking an Administrative Assistant I to provide administrative and budgetary support for the Occupational Therapy Department. This role is ideal for someone with strong administrative, budgeting, database, and organizational skills who enjoys supporting a busy academic department, coordinating operations, and working with faculty, staff, and students.
Key responsibilities
- Produce and edit letters, memos, reports, statistical tables, and other documents using word-processing and spreadsheet software.
- Answer non-routine questions regarding the department and explain departmental policies and procedures.
- Monitor, track, and reconcile departmental budgets; prepare budget reports and may recommend allocations.
- Maintain databases by verifying, updating, and entering data.
- Schedule appointments, coordinate meetings, and make travel arrangements.
- Monitor and order departmental supplies.
- Participate in office management and project work.
- Provide guidance and direction to student employees.
- Update department website content as needed.
Minimum qualifications
- High school diploma or equivalent.
- One year of relevant experience.
- Proficiency with word-processing and spreadsheet software.
- Experience with query databases and budget entry and tracking.
Desired qualification Experience providing guidance to student employees.
Additional information Full-time, regular, nonexempt/hourly position. Pay is commensurate with qualifications and experience and includes an excellent benefits package, including health, dental, vision, life and disability insurance, retirement benefits, tuition discounts for employees, and tuition remission for eligible dependents. Terminal appointment ends June 30, 2027, with potential for extension.
