Part-Time Fire District Treasurer
Chautauqua Fire District #1 Chautauqua, New York Position: Fire District Treasurer Status: Part-Time, Appointed Position (annually) Anticipated Start Date: November 2026 Position Summary Chautauqua Fire District #1 is seeking a dependable and detail-oriented individual to serve as its part-time Fire District Treasurer. The Treasurer serves as the fiscal officer of the Fire District and is responsible for the proper receipt, custody, deposit, disbursement, and accounting of District funds in accordance with GAAP New York State law under the direction of the Board of Fire Commissioners. The Treasurer works closely with the Board of Fire Commissioners and the District's professional advisors to maintain accurate financial records and ensure that the District's NYS and Chautauqua County financial reporting and recordkeeping requirements are met. Primary Responsibilities The Fire District Treasurer will be responsible for duties including, but not limited to: ? Receive and maintain custody of funds belonging to the Fire District. ? Deposit District funds in the financial institutions designated by the Board of Fire Commissioners and in accordance with applicable requirements. ? Maintain accurate and organized records of District receipts, expenditures, vouchers, checks, deposits, and other financial transactions. ? Process payments and issue checks for expenditures authorized by the Board of Fire Commissioners and otherwise permitted by law. ? Provide appropriate receipts and maintain supporting documentation for monies received by the District. ? Reconcile District bank accounts and maintain accurate financial records. ? Prepare regular financial information and reports for the Board of Fire Commissioners. ? Assist the Board of Fire Commissioners with the preparation of the annual budget by providing accurate financial information regarding expenditures, revenues, available funds, and anticipated financial needs. ? Prepare and maintain records necessary for the District's annual financial reporting requirements. ? File the District's annual financial report with the New York State Office of the State Comptroller and provide required reports to the Board of Fire Commissioners. ? Maintain financial records and supporting documentation for examination, audit, and other required reviews. ? Monitor the District's financial activity and advise the Board of Fire Commissioners of significant financial matters, discrepancies, or concerns. ? Work cooperatively with the District's accountant, auditor, banking institution, and other professional advisors. ? Maintain confidentiality of financial and other sensitive District information. ? Perform other financial and administrative duties appropriate to the office of Fire District Treasurer and as directed by the Board of Fire Commissioners. Qualifications Required: ? Strong attention to detail and accuracy. ? Ability to maintain organized financial records and supporting documentation. ? Ability to work independently and meet required deadlines. ? Basic proficiency with computers, email, spreadsheets, and financial recordkeeping software. ? Ability to maintain confidentiality and exercise sound judgment. ? Ability to communicate effectively with the Board of Fire Commissioners, District personnel, and professional advisors. ? Ability to comply with applicable New York State laws, regulations, and Fire District policies governing the handling and reporting of public funds. ? Ability to obtain and maintain any bond or other requirements applicable to the office. Preferred: ? Experience in bookkeeping, accounting, financial administration, or a related field. ? Experience with Quick Books or similar accounting software. ? Experience preparing bank reconciliations and financial reports. ? Experience with or knowledge of the volunteer fire service. ? Experience with municipal, governmental, nonprofit, or fire district accounting. ? Familiarity with New York State municipal financial reporting requirements. A degree or professional accounting certification is not requiredif the applicant otherwise demonstrates the knowledge and ability necessary to perform the duties of the position. Work Schedule This is a part-time positionwith a flexible schedule appropriate for the financial and reporting needs of the Fire District. The Treasurer should expect periodic additional work associated with monthly financial reporting, year-end responsibilities, annual reporting, audits, and other statutory deadlines. The specific schedule and anticipated number of hours will be established in consultation with the Board of Fire Commissioners. Compensation: Upon request Appointment The Fire District Treasurer is an appointed officer of the Fire District and serves subject to applicable provisions of New York State law and the actions of the Board of Fire Commissioners.
