Paralegal/Administrative Assistant – Trusts & Estates Practice Location: In-Person, Rehoboth Beach, DE
Position Overview: We are seeking a detail-oriented and client-focused Trusts & Estates Paralegal / Administrative Legal Assistant to support our Trusts & Estates practice. This role is ideal for someone who enjoys working closely with attorneys and clients, managing sensitive information, and keeping matters moving efficiently from start to finish.
Key Responsibilities:
- Prepare, revise, and proofread estate planning documents, including wills, trusts, powers of attorney, and related correspondence
- Conduct conflict checks in accordance with firm policies and open new client and matter files
- Coordinate document execution, notarization, and client meetings
- Communicate with clients, financial institutions, and court personnel in a professional and compassionate manner
- Maintain electronic and physical files; ensure accuracy and confidentiality
- Track deadlines, calendar important dates, and assist with billing and time entry
- Provide general administrative and paralegal support to attorneys within the practice group
- Assist with probate and estate administration filings and maintain case timelines
- Assist with drafting and recording deeds and ancillary transfer documents
Required Skills & Qualifications:
- Prior experience in trusts & estates, probate, or estate planning preferred
- Familiarity with conflict-check procedures and client/matter intake processes
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency with Microsoft Office; experience with programs such as Aderant and iManage (or similar legal practice management software) is a plus
- Professional demeanor and discretion when handling sensitive client matters
Education & Experience:
- High school diploma required; associate’s or bachelor’s degree preferred.
- Minimum of 1 year experience is preferred
Additional Attributes:
- Strong initiative and problem-solving abilities.
- Ability to be proactive by reviewing calendars for upcoming deadlines and signings and preparing documents as needed.
- Ability to act as a liaison between attorneys, clients, financial advisors, and court personnel.
- Ability to adapt to technology changes and participate in trainings.
