Position summary: We are seeking a highly-organized, proactive Office Manager and Administrative Assistant to support daily operations for our small office that provides finance, legal, and other services for our larger company. Because we are a small team, this position will handle a broad range of administrative, operational, and coordination responsibilities.
Essential Duties and Responsibilities:

- Organizes and prioritizes large volumes of information
- Maintains and handles various records, files, and internal documentation
- Data management, including document scanning and data entry
- Sorts and distributes mail
- Creates letters and other routine documents
- Performs various administrative tasks for executives and staff in the Littleton office
- Answers phone, takes message or answers routine and non-routine questions, and routes specific questions to the appropriate Company spokesperson or representative
- Maintains office supplies inventory, ordering, and replenishing supplies
- Maintains oversight of kitchen, kitchen supplies, coffee, etc.
- Oversees janitorial and other office contractors
- Supports special projects and ad hoc initiatives as needed
- Other duties as may be assigned

Education and Qualifications:
The requirements listed below are representative of the knowledge, skill, and/or abilities required.
- Bachelors or Associates degree or equivalent, or relevant certificate
- Minimum five years’ experience in a professional office environment (small office experience preferred)
- Detail oriented, with strong organizational skills and ability to manage multiple priorities independently
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
- Ability to apply common sense understanding to carry out instructions furnished in written or oral form
- Ability to maintain good working relationships with co-workers, supervisor, management, and department head staff
- Driver’s license and insurance-eligible driving record
- Ability to communicate in person, over the phone and by e-mail with staff and others
- Proficient in a variety of computer software applications in word processing, spreadsheets and data entry. (MS Word, Excel, etc.)
- Able to organize and file documents and records both electronically and physically
- Law office experience a plus, but not required

Physical Demands: While performing the duties of this position, the employee is regularly required to drive, be mobile (walking/standing); to sit at a desk/use computer; to use hands and arms to perform repetitive motions and various tasks; to see and hear adequately to perform all essential functions and maintain a safe work environment in office settings. Must be able to lift at least 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, and ability to adjust focus.
Work Environment: Performing the duties of this job will mostly take place indoors.
Compensation, Benefits, and Application Process
- Hourly Range: $32.00 to $38.00 based on experience.
- Other Compensation: Potential for discretionary bonus under the Company’s short-term incentive plan (STIP).
