The Administrative Assistant for the Director of Workforce and Economic Development is a qualified, competent and experienced full year appointee of the school district who supports the appointee fulfills responsibilities and duties in a fast-paced environment throughout the calendar year.
Responsibilities and Duties:
1.Answer phones, follow-up on voice messages, and info emails.
2.Serve current and prospective students
3.Process student enrollments, withdrawals, refunds and credits.
4.Prepare certifications upon request from instructors and online career graduates.
5.Prepare rosters and course evaluations for all classes.
6.Clone course sections and generate course proofs.
7.Proofread and edit catalogs.
8.Develop and maintain career brochures.
9.Assist all community education programs (CTI and Personal Enrichment classes)
10.Perform all other duties associated and required by the Director of Workforce and Economic Development.
11.Prepare Cosmetology program brochure, calendar, certificates and State Exam applications.
12.Manage State Mandated documentation (Earned Hours, certificates, Student Competency Profiles, CMR 512, CMR 237, and Candidates Handbook) for the Electrical Code career program.
13.Instructor Support; printing rosters, copying course material, assisting with classroom technology
Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. 1. High school diploma required, College preferred.
2. 3-5 years successful employment as a school secretary or comparable position.
3. Possess a thorough knowledge of and familiarity with modern office technology, electronic equipment and software applications and operations. Proficiency in the use of Microsoft Office (Word, Excel, and Power Point) in a Windows environment, data entry and online registration systems. Proficient with mail merge and exporting to Excel.
4. Experience working with current office practices, procedures and equipment.
5. Excellent oral communication and written skills
6. Ability to develop and maintain positive interpersonal relationship with students and staff.
7. Must be able to multi-task, prioritize, work independently, and work in a fast-paced environment.
8. Maintain confidential information.
9. Strong organizational and attention to detail skills.
10. Possess strong communication and customer services skills.
11. Evenings required (flexible schedule).
12. Possess physical and emotional capacity to fulfill responsibilities and duties expected. This position involves sitting at a desk for several hours a day, sustained hand/wrist movement as in writing or using a computer keyboard/mouse. Other activities may include moderate to frequent physical exertion in body movements such as reaching, bending and twisting.
Compensation and Terms of Employment:
1.Weekly salary based on qualifications and experience. Salary range: $60,000 - $65,000 (annualized).
2.Full year, full -time assignment - 52 weeks, 37.5 hours per week. 7.5 hours/day with a half hour duty free lunch period. Evening hours -TBD either 11: 00AM – 7: 00PM or 12: 00PM – 8: 00PM.
3.The school district will provide necessary facilities, equipment, materials and supplies as needed to accomplish assignment.
