Construction & Maintenance Administrator

Summary/Objective

The Construction & Maintenance Administrator works with the Project Manager, VP of Development, and Maintenance Supervisor to facilitate the construction and maintenance of the organization’s physical assets.  The administrator provides administrative help in tracking expenses, managing contracts and coordinating with contractors and vendors to ensure that projects are completed on time and on budget.

In addition, this position will include working with the VP of Development to provide Home Energy Rating Services to both Home Source projects and third-party customers.

1. Manage Contractors

• Establish a Point of Contact and maintain updated contact information.
• Ensure that contractor has current Auto and General Liability Insurance, Worker’s Compensation and a W-9 on file.
• Verify that contractor is not on debarment list.
• Ensure that contractor invoices are submitted.
• Work with the Project Development Administrator to manage bids and contracts.
• Manage Section 3, DBE and Davis Bacon required documentation.

1. Project Financial Management
   • Help Project Manager with maintaining spreadsheets on cost and budgets. Manage Schedule of Values on project and work with financial staff to ensure funding draws are submitted.
   • General paperwork including scanning, printing, copying and email.

1. Maintenance Administrative Activities
   • Provide a wide range of administrative services for maintenance department, including, but not limited to: P-card management, meeting coordination, inventory management, key logs, safety coordination and maintenance logs. (snow, filters, etc…)

1. Energy Services
   • Work with VP of Development to coordinate and carry out Energy Services activities, including modeling, testing, and coordinating contracts and AP for Energy Services activities.

Salary Range  $42,000 - $45,000

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. The noise level is moderate.

Employee may be required to enter a construction job site, including wearing safety equipment and following strict safety procedures while on site.  Noise level can be moderate to loud.  May require standing for long periods.

Position Type/Expected Hours of Work

This is a full-time position: Some evenings and weekend may be required.

Travel

This position may require some travel, both local and overnight.

Required Education and Experience

1. 3-5 years of experience working with others in a customer service and/or office environment.
2. Must be able to read, analyze and interpret documents, income statements, and other technical documents.
3. Must have the ability to respond to common inquires or complaints from customers, regulatory agencies or members of the business community.
4. Experience with data entry and analysis. Experience with Microsoft Office Suite.
