Job Title: Accounting Manager Department: Administration - Finance Reports To: Finance Director FLSA Status: Exempt
OVERALL PURPOSE This role is responsible for overseeing financial operations, performing and managing daily financial activities, provide guidance on financial matter, ensuring compliance with fiscal policies, and collaborating the finance team to maintain accuracy, integrity, and efficiency.
ESSENTIAL FUNCTIONS 1. Fiscal Operations • Ensure timely receipt of funds from grantors, with proper documentation, approvals, and expense allocations • Monitor and verify general ledger accounts, accounts payable, and accounts receivable • Ensure timely payments from funding sources and maintain a schedule for accounts receivable to monitor cash flow • Oversee the preparation and recording of accounts receivable and journal entries • Maintain and verify records of daily deposits • Maintain organized filing of; invoices, accounts payable/receivables, deposits, grants, contracts, and agreements 2. Cost Allocations & Project Codes Configurations • Regularly review and update cost allocations to ensure fair and accurate distribution of expenses across programs • Ensure program requirements for allowable costs are followed • Prepare payroll allocation sheets 3. Invoices, Reports, and Financial Systems • Maintain a schedule of due dates for invoices and reports for each project/program • Prepare and submit invoices and reports in a timely manner 4. Budgets and Financial Planning Assistance • Enter and maintain agency budgets in the financial software system • Assist with monthly financial reports • Communicate regularly with budgets, spending trends, invoices, contract, and funding • Ensure compliance with contract provisions and applicable regulations • Collaborate with department directors to ensure understanding of budgets and spending balances 5. Financial & Bank Reconciliation • Reconcile general ledger accounts and prepare adjusting journal entries • Assist with the preparation and reviewing of monthly trial balances • Assist with the reconcile bank accounts and monitor line of credit activity 6. Annual Financial and Single Audit Preparation • Ensure compliance with federal audit regulations • Prepare and gather audit information 7. Continuous Improvement & Adaptability • Identify process improvements to enhance financial operations • Cultivate an environment focused on delivering high-quality results • Adapt to evolving organizational needs for efficiency in financial operations • Engage in professional development opportunities to stay informed of industry best practices
ADDITIONAL DUTIES 1. Secure office at the end of each day, ensure lights and equipment are turned off 2. Maintain clean and organized workstation 3. Perform additional duties as requested
QUALIFICATIONS EDUCATION • Bachelor’s degree in accounting or related field required EXPERIENCE and CERTIFICATIONS • Experience in bookkeeping, accounts payable/receivable, or general financial preferred • Experience working with financial accounting software and databases required • Experience with nonprofit or grant funded accounting preferred
