Position Highlights

The Graduate College is seeking applications for a Student Academic Specialist. The person holding this position will perform duties as part of the Graduate Admissions & Degree Services (GrADS) section of the Graduate College and report to the GrADS Assistant Director.

The incumbent in this role will receive and process admissions documentation and track students' academic progress and completion of degree requirements, as well as consult with students, academic program coordinators, Directors of Graduate Studies, faculty, and other campus partners to ensure compliance with University and Graduate College policies and procedures. This is a fast-paced collaborative work environment that requires attention to detail as well as efficient and effective communication.

Duties & Responsibilities

Student Services

  • Respond to phone and email inquiries from students, faculty and staff in a timely and professional manner.
  • Steward of applicant/student records and data.
  • Oversee records and communications in GradPath, UAccess, GradApp, GradSlate, OnBase, Outlook, etc.
  • Follow guidelines for filing and archiving data for easy retrieval.
  • Maintain and track all records associated with applicant/student files in necessary admissions/student related systems.
  • Assist
    students and staff in GradApp and GradPath systems
  • Recommend changes or enhancements that might improve overall team performance and the applicant or student experience

Documentation

  • Review of graduate applications for compliance with admissions requirements
  • Process defers, term updates, and Program Additions
  • Review forms submitted by students in the GradPath system to document completion of steps to earn degrees.
  • Review formatting of dissertations and theses submitted for archiving.
  • Maintain accurate student records.

Communication

  • Communicate with applicants, Graduate Program Coordinators, agencies, and other campus units to assist with the application and admissions process.
  • Ensure that the GrADS team contributes to program, applicants, and students' confidence in the UArizona Graduate College as an excellent institution.
  • Clarify policies and procedures for students and departments.
  • Assist with workshops designed to train new personnel working with graduate students

Other duties as assigned.

Knowledge, Skills and Abilities (KSAs):

  • Computer skills, including MS Office.
  • Excellent organizational and communications skills with high attention to detail and accuracy while working under pressure.
  • Excellent written and oral communication and presentation skills.
  • Team player with a positive attitude (be willing to collaborate with and assist others). Ability to set daily priorities and meet team goals
  • Self-starter with strong work ethic
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required
  • One year of relevant work experience required

Preferred Qualifications

  • Experience working with UA student information system (UAccess)
  • Experience using GradApp, GradPath, OnBase, and Slate
  • Proficiency in a second language
