JOB DESCRIPTION AND POSITION REQUIREMENTS: The Department of Curriculum and Instruction (C&I) in the College of Education at University Park seeks a vibrant, collaborative, student-centered professional for an essential position - the Graduate Academic Program Coordinator. C&I offers a doctoral degree program with a variety of emphasis areas, including Language, Culture and Society, Language & Literacy Education, Mathematics Education, Curriculum & Supervision, Social Studies Education, Early Childhood Education, Science Education, and Second Language Education. The Graduate Academic Program Coordinator works closely with the Director of Graduate Studies, the Graduate School, Department Financial Associate, and the Department Administrative Assistant. Central to the role is interacting with potential graduate students during the recruitment process, as well as when they enter and progress through the program. A warm, supportive, patient, and responsive demeanor is required, along with deep and current working knowledge of the policies and practices associated with graduate studies at Penn State (department, college, and university). Job responsibilities include the submission of documentation for major milestones (qualifying exam, comprehensive exam, and dissertation defense); oversight and management of graduate assistantships (e.g., providing terms of offer and offer letters, entering appointments, and removing graduate students from the system at the culmination of their studies); monitoring changes in funding sources over time; and budgetary responsibilities (e.g., allocating stipends and tuition). The Graduate Academic Program Coordinator is expected to attend all graduate meetings and engage in professional communication and interactions with a variety of diverse students, faculty, and staff. Additional responsibilities include enrolling graduate students in controlled courses, preparing for graduation, reviewing and submitting graduate applications, submitting graduate assistantships, and all other relevant duties as assigned. The position typically requires a High School Diploma or General Equivalency Diploma (GED) or higher and 2+ years of related experience, or an equivalent combination of education and experience. The successful candidate must have excellent communication skills, a commitment to teamwork, and a desire to contribute to a positive, inclusive, and excellent workplace environment. The position hours are M-F 8-5, which includes a hybrid schedule for all staff who meet expectations within their job. Facility with Microsoft Office, especially Excel, GRADS (Graduate Admission Decision System), SIMBA (Penn State financial system), Microsoft Teams, SharePoint, and LionPATH (Penn State student system) is strongly preferred. This position will require successful completion of standard background checks.
