JOB DESCRIPTION AND POSITION REQUIREMENTS:

Penn State Abington is seeking a Summer Camp Administrative Assistant to support the smooth operation of its summer camp programs. This hybrid role requires both in-office and remote work and requires weekend availability.
This position is a part-time, temporary role, scheduled to begin on April 1st and conclude on September 1st. There is potential for an extension beyond this timeframe, should the need arise.
Job Duties
  • Train on and effectively use our summer camp registration system, Camp Doc (no prior experience required)
  • Be trained in Penn State Compliance and make sure staff always comply
  • If available, will be required to sit in virtual meetings to learn more about Penn State compliance
  • Utilize Microsoft Word and perform mail mergesfor camp-related documents
  • Print and organize paperwork for camps weekly, assembling materials into binders.
  • Provide administrative supportfor camp operations, including communication with staff and parents.
  • Assist with scheduling, record-keeping, and data entry as needed. This includes managing camper health forms, waivers, and emergency contacts.
  • Assist with the management of summer camp staff
  • Organizing and storage of camp materials, paperwork, and supplies
  • Send out emails, newsletters, and updates about camp activities.
  • Ensure compliance with camp policies, safety regulations, and university guidelines.
  • Must work collaboratively with the Youth Program Director, student counselors, and Continuing Education staff to create an inviting, enjoyable, and educational environment for students.
  • Act as the primary point of contact for parents, handling concerns and inquiries
Requirements and Qualifications
  • Previous experience in camp administration, education, recreation, or a related field is preferred
  • Strong leadership, organizational, and problem-solving skills.
  • Proficiency in Microsoft Word
  • Demonstrated ability to work independently while seeking guidance as necessary and consistently meet deadlines.
  • Employment with the University for this job will require successful completion of the Pennsylvania (PA) Publicly Available Clearances: PA Child Abuse History Clearance, PA State Police Criminal Record Check, and the FBI Criminal History Background Check.
