Position Summary
This position provides primary administrative support to the Associate Dean office in the Graduate School, serving as a critical liaison with faculty, graduate students, graduate program administrators, and other University administrative offices. Specific responsibilities include coordinating Graduate Council subcommittees, managing out-of-state tuition waivers, and routing approvals of new graduate courses. The person in this position also coordinates the day-to-day activities of the Associate Dean of the Graduate School and provides limited administrative support to Graduate School activities coordinated by the Assistant Dean.
Knowledge, Skills, Abilities and/or Competencies

  • Strong organizational skills and attention to detail, including ability to interpret and implement university policies regarding graduate education
  • Strong written and oral communication skills
  • Ability to attend to multiple projects simultaneously
  • Excellent customer service skills and professional demeanor in interactions with faculty and staff
  • Proficiency with Microsoft Office and web-based applications (e.g., survey software)
  • Ability to learn and use multiple systems used by UGA, including Banner, OneSource, CAPA
  • Familiarity with higher education preferred, especially graduate education

  • Coordinating and organizing meetings, scheduling guests' attendance at meetings, drafting and distributing correspondence regarding subcommittee meetings and decisions

  • Managing calendar, emails, phone calls, expenses processing.
  • Support with compiling data or conducting research on current Graduate School programs or comparator institutions.
  • Assist with preparations for meetings with Graduate School staff and external stakeholders

  • Drafting and distributing the call for nominations, serving as liaison for the departments, verifying eligibility by tracking student hours and grades, adding waivers to student accounts
