Essential Job Duties |
Primary Purpose of Position
- Assist with students' record administration correspondence: download applications from GradWatch, assist with processing applications, prepare the required student academic records in a timely manner for awarding of degrees, and compile student data, including contact information.
- Assist with appointments and students as needed. Initiate temporary student hiring and student assistant hiring/rehiring. Assist with providing information for the processing of graduate appointments for RAs and TAs.
- Provide and administer financial transactions. Initiate small purchase vouchers, purchase order requisitions, marketplace orders, travel reimbursements, IDTs, JVs, and reconciliations on a regular basis and as a backup when needed. Pay tuition and fees under the sponsorship form.
- Serve as the property coordinator for the department.
- Serve as the department timekeeper for temporary employees, including the review and correction of temporary employee time sheets.

- Process P-card transactions and handle P-card reconciliation.
- Reconcile the imprest account (Petty cash) account in the department.
- Liaise online to schedule and expand departmental distance education offerings.
- Assist the Director with workshops.
- Assist the Director with tasks as needed.
- May act as building liaison backup.
- Provide backup for the Department's main office and Executive Assistant - assisting faculty, students, and staff.
- P-card reconciler; submit marketplace orders and vouchers as needed.
- Backup for the program for financial transactions when their administrative assistant is unavailable.
- Assist with updating internal office policies and procedures to best practices.
- Perform other duties as assigned by the supervisor.

Minimum Experience/Education |
1-2 years of experience in office administration, finance, or a related field.
- Experience in managing student records, processing financial transactions, or handling administrative tasks
- Experience with graduate student programs or student services in a higher education setting
- Knowledge of administrative tasks like reconciling accounts (e.g., P-card, petty cash) and handling purchases and reimbursements
