Requisition ID req32416 Working Title Admin Assistant 3 Position Grade 08 Position Summary The Division of Neonatology within the Department of Pediatrics is seeking a highly motivated individual to fill a full-time Administrative Assistant 3 position, providing essential administrative support for the division. This individual will serve as a key administrative resource for two or more full-time faculty members and collaborate closely with three division administrators. This role is a critical point of contact for faculty, staff, and Neonatal Nurse Practitioners. The ideal candidate must possess exceptional attention to detail and accuracy, particularly in data entry and documentation, as this role involves critical administrative tasks that directly impact the division's operations. The individual must be adept at communicating effectively via phone, in person, and through written correspondence. Key responsibilities include scheduling and coordinating meetings, managing calendars, taking detailed notes, and entering faculty and NNP service schedules into Tiger. This role also requires handling financial responsibilities, such as reconciling purchases in Chrome River and managing a PCard for division-specific needs. The ability to prioritize tasks, data entry, adapt to changes, and meet last-minute deadlines is essential to succeed in this fast-paced environment. Minimum Qualifications High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified. Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis. Preferred Qualifications
