We're seeking a future team member for the role of Senior Administrative Assistant to join our team at Mellon Investments. This role is located in Pittsburgh, PA, and is a hybrid working role. This role will support the Chief Investment Officer for Mellon Investments. In this role, you will be responsible for:
- Performing advanced, diversified and often confidential administrative duties requiring broad and comprehensive experience, skill and knowledge of organizational policies and procedures.
- Scheduling meetings, preparing and distributing meeting agendas and minutes.
- Making travel arrangements and maintaining a calendar of appointments for assigned executive and team.
- Exercising autonomy in anticipating a diverse range of highly complex issues and troubleshooting these issues as they arise.
- Conducting a range of administrative assignments related to the smooth operation of the assigned executive and team's attendance at or conduct of seminars, workshops, and/or conferences, among others, including production of materials that may be sensitive in nature, scheduling, logistical arrangements, and liaising with participants, speakers, and vendors.
- Undertaking special, diversified, longer-term projects requiring interaction with multiple teams. Could be expected to lead on projects related to administrative initiatives.
- Creating and disseminating draft/final draft correspondence, copies, files and processes related documentation.
- Conducting research, compiling analyses and summarizing information for reports and correspondences.
- Applying discretion to triage and manage complex, sensitive situations resulting from a wide range of requests, questions and problems directed toward the assigned executive and team.
- Developing, drafting or producing advanced memos, correspondence and reports on behalf of the office, assigned executive and/or team.
- Reviewing and analyzing complex data, assist with expense management and development of budgets, accounts payables/receivables on behalf of the CIO and team.
- Completing billing and expense activities, managing supply orders and resolving associated issues on behalf of the executive and team.
To be successful in this role, we're seeking the following:
- An experienced Senior Administrative Assistant who has supported senior leader(s) within a complex global business, preferably in financial services.
- Tact, diplomacy and confidentiality are essential skills based on the level of internal and external contacts.
- Effective collaboration and communication skills are required, including information exchange with internal and external contacts.
- A team player who has a flexible approach and is proactive to the team needs.
- Excellent organisational skills and accurate record keeping skills are essential.
- Experience dealing directly with clients and services providers on a regular basis.
- The ability to be discreet and to deal with confidential and sensitive information
- Proficiency in Microsoft Office applications; intermediate to advanced user of standard business software (word processing, e-mail, spreadsheets, etc.)
- A confident self-starter, adaptable with strong professional judgement.
