Program Coordinator/FMLA Coordinator

The federal medical leave act (FMLA) Obstetrics Program Coordinator is a new role that will be primarily responsible for patients' pregnancy medical leave paperwork for our three Obstetrics divisions (Amb OB, MFM/CFM, and BOGG) in the department. The FMLA Program Coordinator is also responsible for collecting, processing, and collaboration with clinical team on assisting patients and their spouses on leave paperwork. The FMLA Program Coordinator will be responsible for creating innovative workflow alongside the state and our clinical teams to optimize and standardize the process.
He/ She reports to the Practice Manager (s) and is under the general direction of the Ambulatory Administrative Director and Medical Director(s). In Accordance with all BWH established policies and procedures, the Program Coordinator will communicate respectfully and professionally with all patients in the ambulatory practices.

Education
High School Diploma or equivelant

Program support or program management experience 1-2 years required

Knowledge, Skills and Abilities
- Ability to prioritize, delegate, and manage multiple projects and responsibilities simultaneously.
- Basic financial/accounting skills.
- Strong oral and written communication skills.

PROGRAM COORDINATOR

1. Coordinates with the clinical team to obtain correct leave paperwork from the patients and spouses for medical, maternity & paternity leaves.
2. Program Coordinator assess each request, utilizes Epic medical record alongside clinical team to fill out the paperwork correctly.
3. The Program Coordinator works with patients to return paperwork in a timely manner.
4. The Program Coordinator reconciles any discrepancies or requests from patients or spouse's workplace or the state.
5. The Program Coordinator will be responsible for creating a systematic process to effectively complete leave paperwork in a standardized and timely manner.
6. The Program Coordinator will establish collaborative relationships with our clinical teams, other department leave coordinators, and the state.

CUSTOMER SERVICE

1. Scheduling, including insurance authorizations and payment collection.
2. Processes referrals as appropriate, which may require interaction with the referring physicians' offices, insurance, patient access services, and managed care personnel.
3. Obtains referrals for patient appointments not acquired by the Patient Service Center and processes payment for self-pay patients.
4. Provide information to patients to ensure a smooth transition from referral call to registration to billing/ financial counseling.
5. Serves as an administrative role model to ensure that all patient experiences are optimal given our current resources.
6. Reviews and modifies all patient information and educational materials, brochures, display boards, packets, and websites regularly and as needed.
7. Identifies system and/or organizational barriers to patient care and recommends strategies to improve access.
8. Develop and leads projects aimed at improving the leave experience and patient satisfaction
9. Maintains hospital customer service standards with particular attention to teamwork and patient-staff interactions.
10. Operates independently within established guidelines for the majority of duties.
11. All other duties as assigned.

OPERATIONS:

1. Develop and maintains systems for leave paperwork and measures of productivity, efficiency, and quality of patient care.
2. Contributes to the development and maintenance of unit-based policies and procedures related to the quality and efficiency of practice operations.

QUALITY:

1. Collaborates with Practice Manager(s) to create, implement, and evaluate projects and systems for enhancing practice operations.

OTHER DUTIES:

1. Participates in Hospital or Partner's Healthcare System teams as appropriate.

2. Performs other duties as assigned.
