The UC Irvine Student Health Center is a comprehensive outpatient clinic staffed with licensed primary care physicians, psychiatrists, licensed clinical social workers, dentists, physician assistants, registered nurse practitioners, and registered nurses. Medical specialists from various disciplines including dermatology, orthopedics/sports medicine, gynecology, internal medicine, and ENT provide on-site consultation on a regular basis. Student Health also offers basic radiology and clinical laboratory services, insurance consultation, and an on-site pharmacy, making SHC a comprehensive and convenient clinic dedicated to serving students.


Your Role on the Team

Under the Direction of the Administrative Director and/or Manager of Facility and Administrative Operations, the Purchasing & Administrative Analyst is responsible for all aspects of purchasing and reconciliation of documentation associated with SHC purchasing functions as well as routine administrative support for SHC administration. The incumbent is responsible for executing vendor contracts; maintaining accurate records and documentation in support of all purchases; may processes low-value purchase orders, high value requisitions and other types of purchases as required. As a key member of the Administration Team, this position will be responsible to assist with general admin support efforts and tasks.

The expected pay range for this recruitment is $66,231.36 - $74,103.12 (annual)

Required:

  • Ability to use sound judgment in responding to issues and concerns.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Working knowledge of common organization-specific and other computer application programs.
  • Ability to use discretion and maintain confidentiality.
  • Adherence to Health Insurance Portability and Accountability Act (HIPAA).
  • Strong mathematical abilities.
  • Ability to problem solve in a logical manner and to follow through to resolution Able to work independently, utilizing good sound judgment
  • Excellent typing, proofreading and editing skills. Demonstrated ability to write or correspond effectively with proper grammar.
  • Participation in the Employee Pull Notice Program.
  • A minimum of 5 years of experience

Preferred:

  • Working knowledge of University Accounting and Purchasing policies and procedures.
  • Experience working in a health care setting.

Special Conditions:

  • Although this position's schedule is M-F and during traditional work hours, weekends or non-traditional work hours may be required for special projects or busy times of the year, or when strict deadlines must be met. In the case of extended hours, this position may be required to work those hours.
  • Employment in this position is contingent upon successful completion of a Department of Justice (DOJ) Live Scan background check, verification and continued monitoring of licensure as it applies to the position, and successful completion of our background review or credentialing process, as appropriate to the position.
  • The employee must comply with OSHA, CA/OSHA, and CDC recommendations and requirements regarding vaccination and testing of healthcare employees. This includes, but may not be limited to; current hepatitis B immunizations, annual flu vaccinations, and annual tuberculosis screening. At the discretion of Student Health Center, the employee may be offered an option to sign a declination acknowledgement in lieu of receiving an annual flu vaccination.
  • The employee must comply with UC COVID-19 Vaccine Policy, by providing proof of Full Vaccination or submitting a request for Exception or Deferral
  • The California Vehicle and the Public Utility Codes require the University to participate in the Department of Motor Vehicle's Employer Pull Notice (EPN) program. This program provides employers with information about employee convictions of traffic violations and any action the DMV takes against driver's licenses and special certificates. Information received through the EPN program may be used as a basis for disciplinary actions, up to and including dismissal. As this position is covered under the EPN program, the employee will responsible for maintaining and keeping in good standing, this includes the employee's driver's license and any driver certificate or permit needed for this position.
  • The employee will also be responsible for immediately notifying their department manager whenever convicted of a motor vehicle violation or have action taken against the employee's driver's license, permit, or certificate.
