What you will do

As the Executive Assistant to the CEO, you will serve as a strategic administrative partner and will need to be ready to showcase your C-level task management, prioritization, planning, and executive assistant experience. You will provide high-level executive support while also contributing to operations by managing everything from planning events, scheduling appointments, arranging travel, recording of meetings, and providing a variety of other support services to our executive leaders. This role requires exceptional business acumen, tech proficiency, and the ability to anticipate and solve challenges proactively. You will work across teams, optimize executive efficiency, and act as a liaison between the CEO and internal/external stakeholders.

How you will do it:

Project Management/Strategic Support:

  • Act as an administrative partner to the CEO, proactively identifying priorities, roadblocks, and opportunities for efficiency.

  • Manage and track key initiatives, creating actionable insights, dashboards, and reports.

  • Prepare executive presentations, memos, and strategic materials while managing confidential matters with discretion and sound judgment.

  • Manage and prioritize projects, including administrative support services such as budget administration, expense reports, planning and coordination of multiple presentations, and maintenance of calendars.

  • Leading cross-functional projects, monitoring progress, identifying potential roadblocks, and coordinating teams to achieve goals.

  • Identifying potential risks and issues within the organization and proposing mitigation strategies.

  • Fostering collaboration within the executive team, identifying areas for improvement, and supporting leadership development.

  • Gathering information, analyzing data, and presenting options to the executive to facilitate informed decision-making.

Travel and Event Planning

  • Prioritize and manage the CEO's schedule to maximize productivity and impact.

  • Coordinate complex travel, ensuring seamless logistics while coordinating with internal and external partners.

  • Lead planning and execution of executive offsites and high-impact meetings.

Stakeholder & Relationship Management:

  • Serve as a liaison between the CEO, leadership team, and external partners.

  • Facilitate communication, ensuring executive priorities are executed.

  • Represent the Office of the CEO in meetings as necessary

What we look for:

Required

  • Bachelor's degree and 3+ years of executive support, or 10+ years of education and combined experience.

  • Strong business acumen, with the ability to anticipate challenges and drive solutions.

  • Tech-savvy mindset, with proficiency in collaboration tools (e.g., MS Teams, Microsoft 365/MS Office Suite, Power BI, etc).

  • Outstanding communication skills with the ability to influence and collaborate across all levels.

  • Proven ability to manage complex projects with multiple stakeholders and deadlines.

  • Strong attention to detail and ability to prioritize tasks effectively.

  • Ability to influence and motivate teams without direct authority.

  • Exceptional discretion and judgment in handling confidential information.

  • Occasional travel in support of key company events.

Preferred

  • Experience supporting CEO's office with company of similar size, scale, scope and complexity.

This will be an onsite role located at our Glendale, WI office.
