A Ready-Mix Dispatch Manager plays a crucial role in the efficient operation of a ready-mix concrete facility. Overseeing the coordination of scheduling and delivery of concrete products to exceed customer expectations. This position requires strong organizational, communication, problem-solving, and conflict resolution skills to ensure timely and profitable deliveries while maintaining excellent customer service.

Key Responsibilities:

Order Management:

-Manage Ready Mix Dispatch team, ensuring maximum efficiency throughout the order taking process and entry into the dispatch system.

-Confirm order details, including mix specifications, delivery times, and locations. Upsell value add products at point of sale, color, fiber, hot/cold water, accelerator, hydration stabilizers, viscosity modifiers, etc.).

Scheduling:

-Schedule dispatch team and drivers to profitably deliver ready mix concrete based on customer demands and production capacity.

-Right sizing the fleet daily to optimize delivery schedules.

-Efficiently manage daily dispatch, minimizing wait time in yard, maximize equipment utilization, and actively control delivery costs.

Communication:

-Communicate effectively with dispatch, drivers, plant operators, customers, and sales teams to ensure seamless operations.

-Proactively notify customers of delivery status updates, delays, or changes.

-De-escalate situations and work proper channels to find timely resolution.

Problem Solving:

-Address delivery or scheduling conflicts, including last-minute changes, equipment breakdowns, or traffic delays.

-Work with drivers, truck boss, field reps, to resolve on-site issues promptly.

Data Entry and Reporting:

-Maintain accurate records of orders, delivery tickets, and schedules.

-Generate daily, weekly, or monthly reports as needed.

-Ensure cash sale report/cash bag is completed daily. Assist as needed in cash sale collections, including NSF checks, payment not on collected on site, pre-authorizing cards, etc.

Compliance and Safety:

-Ensure all drivers adhere to safety protocols and DOT regulations.

-Monitor truck and driver availability to comply with legal operating limits.

-Never put production over safety. Immediately address any safety concern.

Customer Service:

-Build and maintain positive relationships with customers by addressing inquiries, complaints, and feedback professionally.

Qualifications:

-High school diploma or equivalent; additional education in logistics, business, or construction is a plus.

-Experience in dispatching, logistics, or the construction materials industry (required).

-Strong computer skills, including familiarity with dispatching software and MS Office.

-Excellent communication, organizational, conflict resolution, and multitasking abilities.

-Knowledge of local geography, traffic patterns, weight restrictions, scale locations, and construction site practices is beneficial.

Working Conditions:

-Office environment with frequent communication via phone, email, and dispatching systems.

-May involve occasional site visits, and frequent interaction with drivers, plant personnel, and management.

-Work hours may include early mornings, late evenings, or weekends to meet delivery schedules.

-This role requires a proactive individual with the ability to manage multiple priorities, ensure customer satisfaction, and contribute to the overall success of the ready-mix operations.
