RK&K is committed to finding a dedicated and self-motivated full time Administrative Assistant for our Baltimore, MD office. In this role, the applicant will provide task-oriented support for our projects and to our team members. Basic Responsibilities/Functions
- Arrange internal and external meetings and lunch time presentation events including equipment, food and beverage ordering/setup, and other needs
- Assist with onboarding new employees and workstation set-up coordination with Facilities and IT
- Receive and route daily mail and overnight packages; prepare outgoing mail and packages/equipment - distribute tracking information to appropriate individuals
- Order office supplies and keep an inventory of supplies
- Copier malfunction assistance and toner maintenance
- Fleet departmental vehicle (2) scheduling and maintenance tracking
- Take pride in the appearance of the office area
- Assist with preparing invoices and progress reports
- Draft and edit correspondence and other documents
- Manage calendars, travel arrangements and expense reporting
- Exhibit professional demeanor while responding to calls, emails and interacting internally and externally
- Greet clients, vendors and guests in a personable and helpful manner as required
- Accomplish various professional office administrative tasks
- Track professional certification and security clearances and notify employees when recertifications are due
Required Skills and Experience
- Minimum five (5) years' professional office administration experience
- Prior experience with Microsoft Word and Excel skills with working knowledge of other Microsoft Office products (Teams, PowerPoint, etc.)
- Ability to exercise sound judgment in managing confidential or sensitive information
- Maryland Notary public preferred (or ability to obtain one)
- Excellent oral and written communication skills
- Excellent interpersonal and professional skills
- Excellent time management skills and ability to multi-task serving department employees
- Highly organized and meticulous attention to detail
