Job Description Summary

The Program for Leadership and Character seeks a conscientious, creative, enthusiastic, and organized professional to become Program Coordinator for the Educating Character Initiative. Under general supervision, the Program Coordinator will spend 50% of their time responsible for managing the schedule, communications, and priorities of the ECI Director. Priorities include providing administrative and strategic support; managing the calendar and correspondence; preparing briefing materials; coordinating travel arrangements, including cost tracking and reimbursement; assisting with notetaking and follow-up; and preparing reports. The other 50% of the Program Coordinator's time will be supporting the work of the Educating Character Initiative team by scheduling and coordinating group meetings; monitoring and responding to mail and email; entering data into SalesForce, Workday, and other management systems; managing expense reports and budget tracking for ECI teams, offering administrative and organizational assistance; coordinating grant reporting; and supporting conferences, convenings, and workshops as needed.

This is a two-year grant-funded position. The Educating Character Initiative is supported by a multi-year, $44 million grant from Lilly Endowment Inc., which aims to build a national network aimed at empowering and equipping other colleges and universities to educate character in their contexts. ECI efforts include support for major conferences and convenings on character; creation of character-related resources that faculty and staff can use to design and deliver courses and programming; and grants to facilitate character education at other U.S.-based institutions. The Educating Character Initiative is a project of the Program for Leadership and Character at Wake Forest University.

Job Description

Essential Functions:

  • Use independent judgment and wisdom to support the Director and Educating Character Initiative team in the planning, coordination, and completion of projects and tasks.
  • Manages the Director's calendar and correspondence; Coordinates the Director's travel and scheduling and provides administrative and strategic support.
  • Supports the Director in managing important projects, partnerships, and relationships.
  • Respond promptly to inquiries and effectively manage team correspondence for the Educating Character Initiative, including drafting emails, writing thank you notes, creating briefing materials for scheduled meetings, and scheduling meetings.
  • Completes expense reimbursement and tracks spending for the Director and Educating Character Initiative team.
  • Communicate effectively and regularly with the Director and the Educating Character Initiative team.
  • Works with the Assistant Director of Partnerships to organize conferences, convenings, webinars, book clubs, and workshops for the Program and Educating Character Initiative.
  • Supports grant reporting activities for the Educating Character Initiative Team.
  • Oversee the program finances, approves expenses, and ensures alignment with budgets and policies for a $18 million grant-making initiative.
  • Works closely with the Business Manager to prepare financial reports for the Director and team.
  • Plans and coordinates in-person and virtual meetings for a community of over 1,200 members, ensuring seamless execution through effective scheduling, communication, and logistical support.
  • Assists with other duties as needed.

Required Education, Knowledge, Skills, and Abilities:

  • Bachelor's degree
  • 3-5 years of direct experience as an Executive Assistant, Administrative Coordinator, Office Manager, or related role.
  • General knowledge of executive administration and coordination.
  • Exceptional self-management, organizational and time management skills, with the ability to efficiently organize workflow and adapt to changing demands.
  • Careful attention to detail.
  • Openness to feedback and a commitment to personal and professional growth and a demonstrated ability to update skill set on a continual basis.
  • Ability to take direction, work independently, and work with others as part of a team.
  • Good character, wise judgment, and a strong work ethic, along with the ability to high standards of professionalism.

Preferred Education, Knowledge, Skills, and Abilities:

  • Experience in higher education.
  • 5 years or more of direct experience as an Executive Assistant, Administrative Coordinator, Office Manager, or related role.
