Essential Job Duties |
The Crafts Center is looking for an energetic, capable and professional individual who will serve as the office manager and program assistant. This individual will fulfill and support the Crafts Center with financial, registration and overall office administrative duties. The selected candidate will be a "future forward," detail oriented professional and a flexible, open-minded team player.
This position also serves as the primary registrar for more than 180 non-credit classes annually. Primary duties include:
* Performs all financial duties for the department including but not limited to deposit of cash receipts, invoice entry, credit card reconciling, monthly project review and reconciling, departmental financial reporting, budget tracking, etc.
* Adheres to all Divisional, University and State spending guidelines, policies and procedures.
* Works with the Division of Academic and Student Affairs
*Finance team to assure compliance with all rules and regulations and attends Monthly Business Support Staff meetings to provide staff with updated information related to changes in business practices. Acts as the liaison to
DASA
Human Resources.
* Is knowledgeable and responsible for registration/records, instructors' contracts, and financials
* Supervises all student attendants and develops/oversees processes and procedures for ultimate efficiency and customer service
* Tracks donations and fundraising activity
* Compiles and prepares electronic newsletters
Provides prompt and accurate service for customers, instructors and patrons
* Provides support regarding program access and registration.
Primary Function of Organizational Unit
The Crafts Center functions as an arts school specializing in crafts. Non-credit, non-degree classes are offered each semester in various media. Offerings support all skill levels and are open to NC State students, faculty, staff and the general public. The Crafts Center provides services benefiting academic colleges, administrative units, student organizations and non-campus clients. Whether in support of academic requirements or personal artistic aspirations, the Center serves as a functional, creative facility on campus. |

Provides electronic and/or written confirmations of class enrollment. Provides courtesy reminders of class starts, class changes and/or class cancellations. Monitors classes with low enrollment and assists with outreach/marketing to increase enrollment.
Works with assistant director to gather, edit and prepare catalog content
Maintains contact databases for instructors, members, students, and all list serve-related accounts [mailing lists for emails, outreach]
Relays technical inquiries to director and/or studio managers as needed
Processes surplus equipment orders and coordinates pick-up of surplus equipment.
Working knowledge of University financial and payroll systems (PeopleSoft and Wolfpack Reporting System), Microsoft Office Suite, Google applications (Gmail, Drive,Docs, Calendar), database management.
*Trains student employees in all areas, focusing on: registration, receipts, and timekeeping - with an emphasis on customer service.
Three to five years of experience in program and office administration
General Accounting and/or Business/Administration degree preferred
