Job Description

The Department of Pathology & Anatomical Sciences is seeking an Executive Assistant to provide essential administrative and operational support to ensure the department runs smoothly and efficiently.

Key Responsibilities:

Department Operations & Coordination

* Direct and coordinate daily department operations, ensuring smooth workflow and efficiency.
* Serve as a resource person and liaison, facilitating communication between faculty, staff, and external partners.
* Identify and implement process improvements to enhance department efficiency and effectiveness.

Administrative & Logistical Support

* Manage calendars, meetings and travel arrangements, ensuring seamless coordination of schedules and events.
* Assist in preparing the department administrator and/or chair for meetings and presentations, anticipating information needs.
* Oversee routine administrative tasks, such as timekeeping, supply ordering, invoice processing and special projects.
* Maintain and update a Microsoft database for departmental records.

Communication & Documentation

* Draft and compose letters, acknowledgments and department correspondence on routine and sensitive matters.
* Ensure the accurate handling of confidential and complex information within the team.
* Support the department's myVITA coordination and annual faculty evaluation process.

Qualifications:

* Experience in executive-level administrative support, office management or a related role.
* Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
* Ability to multitask, prioritize and work independently in a fast-paced environment.
* Excellent written and verbal communication skills with a high level of professionalism.
* Strong ability to handle confidential information with discretion.

Shift

Shift Type: Monday - Friday, 8:00 a.m. to 5:00 p.m.
Office/Administrative Hours: Yes - Position will have Office/Admin Hours
Flexibility for Alternative Schedules: No

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

Years of Experience: 2-3 in comparable field
Niche Professional Interests: Niche Interest Areas
Additional Training: Highly versed in Excel and all Word products

Anticipated Hiring Range

Hiring Range: $18.50-$34.18/hr
Grade: GGS-008
