Position Highlights University Facility Services at the University of Arizona is seeking a Front Desk, Administrative Assistant. This role facilitates results through management and support of business practices and policies in order to effectively manage University resources and programs. Organizational Administration includes activities related to finance, information technology, facilities, academic/research programs, and/or student services.

Provides general administrative functions and assistance, which may include communicating with internal and external stakeholders, preparing documents and reports, compiling records, scheduling meetings, organizing and maintaining information, coordinating calendars, composing correspondence and other documents, and analyzing data.

Duties & Responsibilities

Daily Duties:
Utilize internal tracking system for daily recycling/dumpster requests, process recycling partner requests from customers into portal, answer main UFS phone line and route customers to appropriate parties, answer call-in line, check MS Teams for dispatch request routed from work control, create and distribute daily call in log to enter into payroll and document, customer follow up, service request dispatch email and print, maintain/assist with copy room area, respond to customer emails/web requests, distribute mail, assist with administrative tasks for PM's/Supervisors, and manage room reservations.

Weekly Duties:
Track uniforms budget, custodial invoices, waste removal partner invoices, update budget spreadsheets, and aging reports.

Monthly Duties:
Invoicing for recycling customers throughout campus. Documentation of customer information, submit/track credit request to outside partners and accounting.
Create reports to be sent to leadership and relevant parties such as: material requests, inventory reports, budget report, attendance reports, temp agency partners invoicing, birthday cards, anniversary certificates, training sign in sheets, temp trainings, classroom checklists, and key logs.

Minimum Qualifications
  • High school diploma or high school diploma equivalency is required.
  • Minimum of 3 years of relevant experience, or equivalent combination of education and work experience.
Preferred Qualifications

  • Previous experience in a college/university setting.
  • Previous experience working as a receptionist.
  • Previous experience in a customer service.
