Position Highlights

The Traffic Assistant is an entry-level position that supports TV Programming and TV/Radio traffic operations. The Traffic Assistant is responsible for accurate data entry in program spreadsheets and Protrack, maintaining records related to program offers, contracts, insertion orders, and agreements. Additionally, the Traffic Assistant ensures accurate program scheduling, database management, and reconciliation of daily TV and radio program logs in compliance with FCC regulations and AZPM guidelines.

The Traffic Assistant also implements program changes, distributes listings, and coordinates messaging with internal teams and PTV personnel for the delivery of original AZPM programming. Additional responsibilities include e-name entry and reporting duties to support programming operations.

Duties & Responsibilities

1. Program Scheduling & Reporting

  • Generate
    Excel templates for monthly program schedules for PBS 6 and PBS 6 PLUS.
  • Assist
    with reporting activities as directed by the Program Director.
  • Support
    the preparation of documents and messaging for monthly TV program
    highlights meetings.
  • Process
    insertion orders.
  • Assign
    media IDs and create metadata in Protrack for accurate tracking.

2. Program Data Entry & Compliance

  • Enter
    advance schedules into Excel spreadsheets upon publication of grids
    and weekly updates.
  • Input
    program data into advance grids per Program Director instructions.
  • Follow
    up on program resources, rights, usage dates, carriage, highlights,
    program offers, and disclaimers.

3. Database & Log Management

  • Maintain
    and update Protrack and Prolink databases, including coding,
    rights, and metadata.
  • Generate
    logs, manage fill breaks, export schedules, and perform reconciliation.

4. Program Coordination & Listings

  • Schedule
    programming in Protrack following Program Director instructions.
  • Distribute
    monthly and local listings, including program change notifications.
  • Manage
    E-name entry and submission for program tracking.

5. Pledge & Interstitial Content Management

  • Retrieve
    and print pledge formats, updating the pledge binder for Master
    Control Operators.
  • Coordinate
    Flight IOs and interstitial materials.
  • Perform
    additional duties as assigned.

Knowledge, Skills, and Abilities (KSAs)

  • Strong ability to follow through on
    tasks with accuracy and efficiency.
  • Ability to work efficiently in a fast-paced
    environment and take proactive steps to complete tasks.
  • Familiarity with standard office
    practices and procedures.
  • High-level computer skills in Microsoft Office,
    including Access databases and Outlook.
  • Ability to interact effectively with diverse
    individuals and communicate professionally in person, by phone, and via email
    with the general public, donors, members, and staff.
Minimum Qualifications
  • Prior work experience not required.
  • High school diploma or high school diploma equivalency is required.
Preferred Qualifications

  • Experience using Excel to create and manage spreadsheets.

  • Experience with data entry and maintaining accurate records.

  • Vocational or technical training in a related field.
