Position Highlights Research Development Services at the University of Arizona is in search of an Administrative Assistant. The Administrative Assistant provides general administrative functions and assistance, which may include communicating with internal and external stakeholders, preparing documents and reports, compiling records, scheduling meetings, organizing and maintaining information, coordinating calendars, composing correspondence and other documents, analyzing data.

Duties & Responsibilities

responsibilities:

  • Responsibilities
    include tasks such as front desk management - greeting department visitors and
    addressing concerns promptly. managing calendars, travel arrangements,
    preparing meeting documents, assisting with event/meeting organization and
    other general office duties as assigned.
  • Processes PCard
    purchases and reconciliation, travel, reimbursements ensuring all documents are
    submitted in a timely fashion according to deadlines and process
    reimbursements. Submit help desk requests
  • Arrange meeting
    rooms and maintain the conference room and the conference room calendar-

  • Sets up Zoom,
    technology and other audio-visual aids; anticipates and prepares background
    materials as needed in collaboration with others; makes necessary travel
    reservations and itineraries.
  • Additional duties
    may be assigned.

Knowledge, skills
& abilities:

  • Excellent knowledge
    of office and administrative procedures and policies
  • Proficient with
    Microsoft Office Suite, especially Outlook email and calendaring, Zoom, Doodle
    Poll or other similar applications
  • Exceptional
    organizational skills: detail-oriented, able to prioritize strategically, and
    effectively juggle multiple projects simultaneously
  • Excellent verbal and
    written communication
  • Ability to
    effectively communicate
  • The use of sound
    judgment and the ability to distinguish priorities are important
  • Working well with
    moderate supervision and within a team
Minimum Qualifications
  • High school diploma or high school diploma equivalency is required and a minimum of 3 years of relevant experience, or equivalent combination of education and work experience.
