Position Overview
The Office of the University Registrar reports to the Vice Provost for Enrollment Management, which includes the following functional units: the Office of Undergraduate Admissions, the Office of Graduate Admissions, Financial Aid and Scholarships, Student Information Systems, and the Office of the University Registrar.

The Office of the University Registrar (OUR) is responsible for catalog and course scheduling, room reservations, student enrollment, tuition and fee assessment, the production and maintenance of the academic record, including the official academic transcript, enrollment certification, and graduation and diploma production.

This position demonstrates quality service, innovation, creativity, and ethical and proactive behaviors in the following areas: Residency, Athletic and National Student Clearinghouse Certifications. Oversees the certification process of over 500 student-athletes, and supports the recruitment of prospective student athletes. This position assists with resident tuition classification decisions/data entry and with submission of data to the National Student Clearinghouse. The person in this position is responsible for knowledge of and compliance with Kansas state statutes, Board of Regents and University policies, and NCAA rules and regulations regarding day-to-day job-related activities applicable to the position that could involve contact with student athletes. Assists the Assistant University Registrar in planning and monitoring improvements to the area.

Job Description
45% - NCAA/Big XII Compliance Process
  1. Manages and certifies the individual review of over 500 athletes' enrollment and records to ensure compliance with NCAA and Big 12 Conference eligibility requirements.
  2. Maintains a comprehensive understanding of NCAA and Big 12 policies and ensures updates to interpretations are accurately filed and applied.
  3. Applies knowledge of the University of Kansas policies and procedures, including individual school regulations, potential exceptions, and graduation requirements to the athletic certification process.
  4. Reviews and disseminates certification materials to administrators in each of the schools, monitors for timely completion, verifies school evaluations, and determines final academic eligibility.
  5. Collaborates with Academic units and Athletic Department staff to ensure timely and accurate completion of certification evaluations through regular meetings.
  6. Prepares and submits 100% accurate semester evaluations and certification reports to the NCAA and Chancellor.
  7. Attends NCAA and Big 12 athletic compliance trainings to remain current on policies and ensure institutional compliance.

25% - Transfer Portal Support for KU Athletics
  1. Reviews prospective transfer student-athlete college transcripts for transferability of courses.
  2. Calculates KU Admission GPA and NCAA GPA based on transferable coursework in alignment with KU and NCAA policies and regulations.
  3. Exercises a high level of attention to detail in examination of documents to identify issues and provide solutions that ensure accurate and consistent review of prospective student transcripts.
  4. Analyzes and understands the impact of transfer credit on KU Core and degree requirements.

20% - Residency Classification
  1. Reads, interprets and applies complex residency policies to determine students' residency classification for tuition purposes.
  2. Compiles and prepares documents, including notification to students, for residency appeals committee meetings.
  3. Communicate residency and review status, via email, phone, and in person.

5% - National Student Clearinghouse Reporting (NSC)
  1. Determines the yearly calendar for submission of the NSC enrollment reporting to maintain compliance with the federal government and NSLDS in coordination with the Assistant University Registrar.
  2. Coordinates with stakeholders the submission of each NSC report, including running reports, updating records to ensure correct initial submission, and notifying stakeholders of any issues and providing resolutions.
  3. Reviews and resolves submission errors as needed within the compliance best practice guidelines.
  4. Analyzes problems and issues and notifies Assistant University Registrar of reporting updates as necessary.

5% - Other Projects as Assigned by the Supervisor or University Registrar

Required Qualifications
  1. High School degree/GED Equivalent
  2. Two (2) years of full-time office experience or associate or bachelor's degree, as evidenced in application materials.
  3. Excellent communication skills, as evidenced in the application materials.

Preferred Qualifications
  1. Experience in PeopleSoft Student Administration System and/or NSC software, as evidenced in application materials.
  2. Detailed knowledge of NCAA and Big XII Interpretations, as evidenced in application materials.
  3. Ability to manage projects in a collegial, collaborative manner, as evidenced in application materials.
  4. Ability to work with strict deadlines and in high pressure situations, as evidenced in application materials.
