Essential Job Duties
The NC State Extension Master Gardener ( EMG) program seeks a highly organized and motivated Program Assistant to provide administrative support and assist with all aspects of statewide program coordination. This position offers the opportunity to make a meaningful impact by supporting one of the largest volunteer-driven Extension programs in the state.
The EMG program engages over 4,000 volunteers who serve under the guidance of Extension professionals based in 78 of N.C. Cooperative Extension's 101 local centers. The Program Assistant will play a vital role in ensuring the smooth operation and growth of this impactful program. Primary responsibilities include:

Program Coordination and Education Support

  • Assist in planning and coordinating in-person and online continuing education and training opportunities for Extension professionals and Master Gardener volunteers.

    • Examples include statewide conferences, regional workshops, and online learning opportunities, such as the Plants, Pests, and Pathogens webinar series.



  • Support the administration of program policies, operating procedures, and brand guidelines.

Communications and Outreach

  • Enhance communication among the state program staff, Extension professionals, and volunteers through tools such as Gmail, Google Drive, Google Apps, Google Groups, newsletters, social media, Extension websites, Active Campaign, WordPress, Facebook, Instagram, YouTube, Canva, and other platforms.
  • Create and manage content for the public EMG website to promote program impacts and celebrate volunteer achievements.
  • Manage the NC State EMG YouTube channel, including uploading videos, tracking analytics, and guiding volunteer teams in subtitle corrections.
  • Manage social media channels (Facebook, Instagram), including creating content and graphics, scheduling posts, tracking analytics, and engaging with the audience.
  • Plan, write, and design the quarterly statewide e-newsletter for program volunteers, including coordinating content, contributors, layout, and distribution.
  • Manage webinars, virtual meetings, and online learning platforms (e.g., Zoom, Google Meet).


Technology and Volunteer Support
  • Manage the EMG Intranet, providing technical assistance and training to Extension professionals and volunteers to support effectively using this password-protected volunteer management system.
Volunteer Recognition and Fundraising

  • Coordinate statewide volunteer recognition programs, including the Learn-Grow-Share Showcase webinar series and distribution of milestone pins that are awarded for reaching specific hours and years of service levels.
  • Support fund development efforts to grow the NC Extension Master Gardener Endowment and enhancement funds.
    • Tasks include coordinating annual fund drives like NC State Day of Giving, promoting the EMG license plate, and fostering donor appreciation and stewardship.



Administrative Support

  • Manage budgets and process program fees.
  • Assist with compiling evaluation data and reporting program accomplishments.
  • Support the development of volunteer recruitment and other program materials.



Additional Duties
  • Perform other duties as assigned to ensure the success of the program.
Additional Information

  • This position reports directly to the NC State Extension Master Gardener Program Manager.
  • Occasional travel may be required.
  • This is a part-time, temporary position with an anticipated employment term of 42-46 weeks per fiscal year.

Work Schedule
20-25 hours per week with flexible working hours. A hybrid work schedule is available, requiring at least one day per week on campus. The position also requires availability for in-person meetings and events on the NC State campus and other locations as needed.

Preferred Years Experience, Skills, Training, Education

  • Experience managing logistics, timelines, and communications for in-person and virtual events.
  • Expertise in managing webinars, virtual meetings, and online learning platforms (e.g., Zoom, Google Meet).
  • Proficiency with Gmail, Google Drive, Google Apps, WordPress, Canva, ActiveCampaign and AI tools such as ChaptGPT.
  • Experience creating and managing content for platforms such as Facebook, Instagram, and YouTube, including tracking analytics and audience engagement.
  • Experience troubleshooting and resolving technology issues as well as assessing program needs, tracking performance metrics, and implementing improvements.
  • Familiarity with fund development strategies, data reporting, and donor stewardship practices.
  • Experience working with individuals from diverse backgrounds and demonstrated success in recruiting, training, and engaging volunteers.
  • Volunteer experience particularly in community service or educational programs.
  • Extension Master Gardener volunteer or program coordinator within an Extension Master Gardener program.
