Description
As the Assistant to the Clinical Director and Vice Chair, you will provide executive-level administrative, office and financial management support.You will ensurethat the Clinical Director are adequately informed and prepared for day-to-day operations. This position requires a high level of independent decision-making, problem solving skills, analytical abilities and the ability to handle sensitive materials on a daily basis. Skill in setting priorities to complete work in a timely manner with changes in workload, assignments, deadlines and other competing demands with frequent and often urgent interruptions and with varying priorities. Ability to professionally represent the Clinical Director with a polite and cordial manner. Lastly, serve as operational Project Coordination for any initiatives or projects assigned by Clinical Director and/or Vice Chair. Salary Range: $31.22 - $49.77/hourly
Qualifications
- Skill in working independently on a variety of assignments with minimal direction and fluctuating workload, frequent interruptions and distractions.
- Skill in analyzing information and/or assessing situations to define issues, identify concerns, or factors, recognize alternatives and their implications to respond accordingly.
- Skill in prioritizing assignments to assure the completion of work in a timely manner under pressure of deadlines and heavy workload.
- Skill in interacting diplomatically with a diverse population composed of administrators, staff, Physicians and outside customers.
- Writing and editing skills to prepare grammatically correct business correspondence, agendas, minutes, and reports with speed and accuracy.
- Using independent judgment, maintain a complex calendar scheduling appointments, arranging meetings and special events.
- Skill in establishing and maintaining complex filing, pending and follow-up system by reading, understanding and classifying written materials into appropriate file categories.
- Working knowledge of making travel arrangements and adhering to UC Travel & Entertainment policy
- Demonstrated ability to maintain confidentiality.
- Ability to establish and maintain cooperative working relationships in a complex and sensitive environment
- Working knowledge of University, Medical Center and FPG Departmental Policies and Procedures.
- Ability to coordinate information between supervisor and his/her direct reports.
- Skill in using a P.C. and a variety of software programs including MS Word, Excel, PowerPoint, Outlook and the Internet.
- Ability to operate and maintain a photocopier, fax machine, typewriter and overhead projector.
- Ability to use BruinBuy, Travel Express and other web based systems.
- Knowledge of Medical Center's disaster procedures.
- Working knowledge of University and Medical Center Purchasing, Accounting, and Payroll Policies and Procedures.
- Ability to consistently demonstrate excellent personal demeanor.
