Primary Purpose of Position |
This position supports both faculty and students within the department and reports directly to the department chair. Responsibilities include administrative tasks such as course scheduling, record-keeping and report generation. The role also assists students with travel requests and employment assignments. The position provides back-up support for the Department Administrator in managing grant -related matters or other business issues in his/her absence. |
Minimum Education/Experience |
Required Minimum Qualifications:
Graduation from high school and one year of related office experience; or an equivalent combination of education and experience.
University Preferred Qualifications:
Journey: Graduation from high school and demonstrated knowledge, skills, and abilities gained through three years of specialized office experience or an equivalent combination of education and experience. |
Essential Job Duties |
This position's main responsibilities include:
- Prepares the documents related to faculty and student hiring, contracting, and routine business.
- Assists department with managing Course Scheduling
- Processes travel for students and department in accordance with established travel policy and procedures.
- Handles reimbursements and payment with Direct Pay Requests or Pcard for faculty/students.
- Discusses procedures and answers faculty, staff, and student questions concerning a variety of subject matters.
- Proofreads and edits correspondence for the Department administration.

Other Work Responsibilities |
- Works with the Department Administrator in grant budget management/reconciliation.
- Submits requests through University platforms, such as: Archibus, Motor Fleet, etc.
- Manages special processes as needed.

Departmental Preferred Experience, Skills, Training/Education |
- Bachelor's Degree, business administration or related field
- 3 years Office management/administrative experience
- Customer service experience working with University students, faculty, and staff preferred
- Experience with Microsoft office and Google Suite and processing forms (Excel/Google sheets)
- Accounting experience is a plus.
- Familiarity with NinerWorks and Banner preferred
