Job Summary
JOB SUMMARY
This position performs a variety of accounts receivable functions in various systems including Colleague, Touch Net, Lumens and US Aepay pertaining to student, contract, and third-party billing. Processes invoices and performs related cash and recordkeeping functions, reporting to the Senior Business Operations Manager.
Essential Job Functions
ESSENTIAL JOB FUNCTIONS:
- Process receipts and post payments in Colleague or other required system; process various payments including but not limited to tuition for credit/non-credit courses, tests, transcripts, field trips, scholarships, canteen cards, gift certificates, textbook accounts, etc.; place hold on accounts following College procedures.
- Disburse and reimburse all petty cash accounts and maintain security and accuracy of all monies in the cashier office.
- Handle all processing for non-sufficient fund checks, coordinate student repayments and eventual referrals for collections by the Controller.
- Work directly with the bank and students to initiate stop payments for lost and damaged checks and replacement of those checks by the Controller.
- Work directly with students to resolve billing problems and correct any student accounting errors; may receive and process all related payments and maintain history files on delinquent payments and then initiate further billing and collections.
- May work in a separate automated system to initiate and maintain the billing and collection processes for the Childcare Programs or work with various voucher systems within the College.
- Assist Accounting Office in monthly reconciliation for the College’s bank account and credit card processes.
- May receive employee waivers; compare and verify accuracy of student records before coding and processing. May process refunds on both the credit/non-credit side of the College including but not limited to financial aid, loans, and special request from Fiscal Affairs and Student Affairs; may process adjustments to the Veterans Administration when necessary.
- May assign and oversee work performed by temporary staff.
- May serve as liaison with State of Maryland collections department to resolve delinquent accounts.
- May update rate tables; create reports and spreadsheets as requested.
- May assist with tasks associated with sponsor/contract/third-party billing as needed.
- Adhere to FERPA regulations.
- Perform other duties as assigned.
Minimum Requirements to Perform Work
MINIMUM REQUIREMENTS TO PERFORM WORK:
- Associate degree plus three years of experience relevant to the specifics of the essential functions and areas of responsibility, or
- High school diploma or equivalent plus five years of prior experience relevant to the specifics of the essential functions and areas of responsibility.
- Demonstrated aptitude and proficiency learning and using new technologies.
- Proficiency with Microsoft Excel, Word and other office software applications in a Windows environment (i.e. spreadsheet, database).
- Excellent organizational skills and ability to multi-task to successfully balance multiple competing priorities.
- Excellent customer service skills, friendly demeanor, respect for confidentiality and understanding and acceptance of people from various backgrounds.
- Excellent written and oral communication skills.
- Must be positive, cooperative, and supportive.
PREFERRED SKILLS:
- Prior experience in accounts receivable accounting functions.
- Associate degree.
- College coursework in basic accounting or verifiable training in accounting methods and systems (ex., Quick Books certification) that encompass basic accounting functions.
- Experience with Colleague or other relevant accounting software and CRM systems.
Supplemental Information
SALARY INFORMATION:
This position will be placed on the 12-month non-exempt staff salary scale at grade 10. Actual salary placement based on qualifications and experience. Position includes excellent benefits package.
PHYSICAL DEMANDS:
This work is normally sedentary work which requires exerting up to 10 pounds of force occasionally and or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Additionally, the following physical abilities are required:
- Hear/talk/communicate – Must be able to exchange information and communicate
- Visual Acuity/ability to perceive or detect surroundings
- Mental acuity – Ability to focus, concentrate, understand, and convey subject matter
- Repetitive motion (i.e., keyboarding)
- Stand/sit/walk/able to move or traverse from one area to another
WORK ENVIRONMENT:
College campus, direct contact with diverse students, staff, faculty and the general public in classrooms, common and shared areas, offices, and campus environments. Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as office, meeting, and training rooms. Use of safe workplace practices with office equipment; computers for data entry and word processing with some highly technical applications and new technology systems; avoidance of trips and falls; observance of fire and building safety regulations; observance of all College policies; and observance of traffic laws when/if driving College vehicles.
TO QUALIFY FOR EMPLOYMENT, SELECTED CANDIDATES MUST:
- successfully complete a criminal background check (for designated positions)
- be able to work on campus as of the first day of employment
- be a resident of DE, MD, PA, VA, WV or DC as of the first day of employment
- be currently authorized to work in the US, as the College does not offer Visa sponsorships
