Institutional Registrar

Moravian University (www.moravian.edu), the nations sixth oldest college institution and the fastest-growing university in the region, seeks an Institutional Registrar. Reporting to the Provost, the Institutional Registrar is responsible for planning, managing, supervising, reporting, and advising on all activities related to academic records, conferral of degrees, course registration, classroom schedules, and related areas. The Institutional Registrar creates and maintains collaborative working relationships with institutional leadership, faculty, and staff, and supports University programs and policies as established by federal, state, administrative, and academic entities. The Institutional Registrar supports a student-center office that creates an appropriate balance between ensuring compliance with the implementation of forward-looking practices, moving the registrars office to a modern, innovative office serving an increasingly complex university environment. The registrar acts as a central communication resource for academic and policy information related to student records management. The Institutional Registrar is responsible for the maintenance and integrity of academic records. This position serves as the institutional registrar for all institutional divisions.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

• Supervise daily operations of the Registrars Office.
• Provide & model for registrars staff customer service in a timely, collaborative, and collegial manner.
• Exercise fiscal responsibility for the use of departmental budgeted expenditures.
• Provide planning, operations, evaluation, delivery of services and counsel in areas related to Registration. Continuously improve functionality in the office of the registrar to meet the strategic needs of the University.
• Administer published/approved academic policies of the institution and provide administrative perspective as appropriate and maintain the published academic catalog and student information system with approved changes. Proactively suggest changes to policies and procedures to the provost and associate provosts, as well as other appropriate offices or entities.
• Participate in ongoing coordinated processes related to the maintenance, set-up, testing, update, reporting needs and upgrades to the student information system (Jenzabar).
• Responsible for the security, integrity, and accuracy of data that comprises academic records.
• Coordinate with Information Technology (IT) teams to ensure technology systems and tools (e.g., document imaging, digital workflows) are optimized for registrar operations.
• Ensure accurate data collection within the student information system (SIS) for the purposes of reporting and analysis.
• Leverage data analytics and emerging technologies to enhance efficiency in record-keeping, registration, course scheduling, and student services.
• Enforce the provision of the Family Education Rights and Privacy Act (FERPA) and act as the Universitys chief compliance officer for FERPA. Manage the release of student records in accordance with AACRAO standards & best practices. Provide training and policy updates to the faculty and other members of the community as needed
• Provide various current RE module reporting needs and term academic standing reports in a timely fashion.
• Produce final approved course and classroom schedules.
• Be an engaged, positive and collaborative partner in the transition from Jenzabar to Oracle.
• Serve as a member of various committees some as ex-officio and provide input on academic policies and procedures that could impact committee decisions and recommendations.
• Actively participate in the registrars group of the Lehigh Valley Association of Independent Colleges (LVAIC).
• Participate in professional development activities.
• Other duties as assigned.

• Submissions to National Student Clearinghouse and other mandatory or requested reports and submissions
• Web Services for students, maintenance, and operation
• Reviewing, updates, changes or deletion of policies related to Registration and Student Records as approved by committees
• VA certification and reporting
• Hiring and evaluating registrar staff performance, including ongoing training and professional development activities

QUALIFICATIONS:

• Bachelors degree (masters degree preferred) with progressive experience in a registrar/student services functional capacity within a higher education institution, having served previously as a registrar or associate registrar for at least 3 years
• At least two years of directly supervising a team
• At least three years (or equivalent) experience, background, and/or demonstrated knowledge in non-traditional schedules and offerings (such as PLA), including transcription of such items
• At least one year (or equivalent) experience in working with dual enrollment/ concurrent enrollment programs
• Strong leadership in advocating for both faculty and students through direct and indirect interaction, i.e. procedural and systems development
• Excellent communication, leadership, and organizational skills
• Experience managing complex records systems and computer systems development in a registrars office or admissions office (specific experience with Peoplesoft preferred)
• Successful supervisory experience in a people-oriented environment
• Excellent technical, analytical, and problem-solving skills
